An SMTP receipt describes acceptance by the mail service, without proving that the recipient read the message. Distinguishing these events avoids interpreting the message status as a commercial interest.
Sent, SMTP acceptance and delivery
- Open the Sent filter and check the agent, recipient and receipt date.
- Read the reference to the version actually accepted by the SMTP server.
- Distinguish acceptance from delivery and reading: the receipt does not prove that the recipient opened the message.
- See subsequent responses and notifications; for a new message prepare a new request without altering the one already sent.
Synchronization and reading of the mailbox
- Open the details of a sent communication and check the last check of the mailbox.
- Read persistent response or non-delivery events related to the message.
- Consider that the IMAP control is read-only and that the absence of events does not prove delivery or reading.
- For complete information use the authorized mailbox; extracts in CRM do not include all message attachments.
Putting this into practice
After sending, check the available events and any responses or anomalies. If a response’s connection to the deal is uncertain, check the context before attributing it.
