Sharing and permissions: give access to the right document

Sending a link is just part of sharing. The recipient must be able to access the content with the required permissions, also taking into account the permissions inherited from the folder.

Share a link

  1. Select the document and open Share.
  2. Copy the document link or fill in recipients and message for integrated sending.
  3. Check that the recipient has an account and read permission. If it is missing, ask someone authorized to assign it.
  4. For the email, press Send and check the result; if possible, check with a testing recipient.

Direct and inherited permissions

  1. Open Permissions on the file or folder. The overview lists direct assignments to users and groups.
  2. Remember that the accesses inherited from the superior folders remain active: the absence of direct lines does not imply absence of reading.
  3. Open Manage permissions if you need to intervene. Distinguish Read Only from Read & Write and control recipients.
  4. Save only the changes you want. Verify with a test account that the allowed and prohibited actions match the expected result.

Putting this into practice

Before sharing a project document, verify the recipient, location and actual permissions. If the result is not as expected, check the source of the permission before adding a new one.
