A name like “definitive_ultimate” does not make it clear which revision is valid. Version management allows you to update a document while maintaining a searchable path of previous changes and content.
Update with a new version
- Open the same folder as the existing document and choose a file with the same name.
- Start uploading: the system displays the found document and offers Upload as new version or Cancel.
- Check the name and only confirm if you want to update that document. Before confirmation the content is not replaced.
- After confirmation, check the current content and history. The document reference remains the same; permissions, tags, calendar and workflow are preserved.
History, history download and restore
- Select the document and open History in detail.
- Distinguish Previous version available from Historical event without archive. Not all events have a copy of the file.
- To compare a version, download it from the link for that line and check the contents before taking action.
- If authorized, use Restore and subsequent confirmation. Then check the current file and updated history.
Putting this into practice
When you receive a revision, open the corrected document and check the current version before updating. After saving, check the history and re-read the result.
