Sales emails: distinguish sending, delivery and response

An SMTP receipt describes acceptance by the mail service, without proving that the recipient read the message. Distinguishing these events avoids interpreting the message status as a commercial interest.

Sent, SMTP acceptance and delivery

  1. Open the Sent filter and check the agent, recipient and receipt date.
  2. Read the reference to the version actually accepted by the SMTP server.
  3. Distinguish acceptance from delivery and reading: the receipt does not prove that the recipient opened the message.
  4. See subsequent responses and notifications; for a new message prepare a new request without altering the one already sent.

Synchronization and reading of the mailbox

  1. Open the details of a sent communication and check the last check of the mailbox.
  2. Read persistent response or non-delivery events related to the message.
  3. Consider that the IMAP control is read-only and that the absence of events does not prove delivery or reading.
  4. For complete information use the authorized mailbox; extracts in CRM do not include all message attachments.

Putting this into practice

After sending, check the available events and any responses or anomalies. If a response’s connection to the deal is uncertain, check the context before attributing it.
