The supplier order describes the agreed requirement; reception records what arrives. Keeping them connected helps recognize partial deliveries and quantities still expected.
Create and validate a purchase order
- Open the supplier and the offer document from which the purchase must arise.
- Create the order indicating products or services, quantities, prices and expected date.
- Check the conditions and complete the validation or approval required by the business process.
- Follow order status and links to receipts and invoices without confusing order and goods received.
Record receipts of goods
- Open the supplier order and check the quantities still to be received.
- Prepares receipt by indicating actual quantities, warehouse and lots when requested.
- Compare the goods with the supplier’s document and keep any differences evident.
- Validate the authorized document and consult residual quantities and resulting stocks according to the configuration.
Putting this into practice
Upon delivery, compare items and quantities with the order before registering receipt. If there is a difference, make it visible in the intended path instead of considering the entire purchase complete.
