Approve communications: version control and exception handling

Approval is a transfer of responsibility for a specific content. The ability to manage multiple requests does not replace reading the scope and versions involved.

Single and multiple approval

  1. Open the approveable requests in the current filter and compare their versions.
  2. For a single decision read the detail; for a group selects only the requests actually checked.
  3. The multiple selection concerns a maximum of one hundred lines of the filter and requires confirmation; prospects with individual confirmations follow their own path.
  4. After the decision, re-read the states: approving the group records decisions and is not equivalent to proof of sending.

Refusal, revocation and expiration

  1. Open the detail and check the status, version and deadline of the request.
  2. To refuse, indicate a concrete reason that allows the author to correct the content.
  3. Use revocation when available for an approved request yet to be executed and consider expiration of the decision.
  4. Consult the history; a communication already sent remains registered and is not recalled by the revocation of a draft.

Putting this into practice

Before multiple approval, check selected filters and requests. For an inappropriate proposal, use rejection or revocation according to the context and make it understandable why.
